ManageNest Ltd ("ManageNest", "we", "us", "our") provides a maintenance coordination platform used by landlords, letting agents, tenants, and contractors. This policy explains what personal data we collect, why we collect it, how we use it, and the rights you have over it.

2. What personal data we collect

Depending on how you use ManageNest, we may collect:

  • Name, email address, and phone number
  • Property address and details relating to a tenancy or maintenance case
  • Messages, photos, and descriptions submitted when reporting or managing a maintenance issue
  • Account information, including your role (landlord, tenant, contractor, or agent) and login activity
  • Records of approvals, quotes, and communications relating to a case

We do not knowingly collect more data than is necessary to coordinate and resolve a maintenance case.

3. How we collect your data

We collect data directly from you when you're added to the platform, when you submit a maintenance request (by text, link, or the app), when you communicate with us or a contractor through ManageNest, and through your ongoing use of the platform.

4. How we use your data

We use your personal data to:

  • Coordinate maintenance requests between tenants, landlords, and contractors
  • Send notifications about the status of a case (for example, by SMS or email)
  • Apply approval rules and escalate cases that need a decision
  • Maintain records of repairs, approvals, and costs for your property
  • Keep the platform secure and investigate misuse where necessary

Our lawful basis for most of this processing is performance of a contract (providing the ManageNest service to you) and our legitimate interests in running a functioning maintenance coordination platform. Where required, we'll ask for your consent separately, for example for optional marketing communications.

5. Who we share your data with

We share personal data only where it's needed to provide the service:

  • With contractors, landlords, tenants, or agents involved in a specific maintenance case, limited to what's relevant to that case
  • With our SMS provider, to deliver text notifications
  • With our email provider, to deliver account and case notifications
  • With our cloud hosting provider, to store and run the platform securely

We do not sell personal data to third parties. Any third-party processor we use is bound by a data processing agreement requiring them to protect your data to at least the standard required by UK GDPR.

6. International data transfers

Some of our service providers may store or process data outside the UK. Where this happens, we rely on appropriate safeguards, such as the UK's International Data Transfer Addendum or an adequacy decision, to ensure your data remains protected.

7. How long we keep your data

We keep personal data for as long as your account is active, and for a reasonable period afterward to meet legal, accounting, or dispute-resolution obligations. Case records are typically retained for 6 years after a case is closed. You can ask us to delete your data sooner, subject to any legal obligation we have to retain it.

8. How we protect your data

We use reasonable technical and organisational measures, including encryption in transit, access controls, and restricted internal access, to protect your personal data against unauthorised access, loss, or misuse.

9. Your rights

Under UK GDPR, you have the right to:

  • Access the personal data we hold about you
  • Correct inaccurate or incomplete data
  • Request erasure of your data, where applicable
  • Object to or restrict certain processing
  • Request a copy of your data in a portable format
  • Complain to the UK Information Commissioner's Office (ICO) if you believe we've mishandled your data

10. Cookies

Our website is built on Webflow, which uses essential cookies required for the site to load and function correctly. We do not currently use additional analytics or marketing cookies. If this changes, we'll update this policy accordingly.

11. Children's data

ManageNest is not intended for use by anyone under the age of 18, and we do not knowingly collect personal data from children.

12. Changes to this policy

We may update this policy from time to time. If we make material changes, we'll notify users through the platform or by email where appropriate.
